Ad Astra Realty – KC Property Manager collects personal information in the following ways:

  • From real estate–related forms completed by clients or customers during a transaction.

  • Via tax reporting forms required to be completed and provided to our company.

How We Use Your Information

Personal Information from Prospective Tenants: Information provided by prospective tenants is primarily used to obtain consumer reports (credit checks) and may also be used to conduct background and rental history screenings. Details from these reports may be shared with landlords for whom we manage properties. Additionally, Ad Astra Realty may report information to credit agencies as required.

Personal Information from Clients: When representing clients, buyers, sellers, landlords, or tenants, our agents may share personal information with trusted service providers (such as lenders or title companies) to facilitate transactions, always at the client’s direction and with their knowledge. We take care to handle all client information with discretion and professionalism. Contact information provided by clients is used for internal marketing purposes: newsletters, promoting company values, event announcements, updates, and brand reputation.

Personal Information from Property Owners: When we manage properties on behalf of owners, we use their personal information solely to:

  1. Deliver property management services.

  2. File required reports with government agencies (e.g., the IRS).

  3. Set up ACH deposits and other payment systems.

  4. Carry out other authorized actions, such as setting up utilities.

We may also use collected information to:

  • Improve our website and user experience.

  • Respond more effectively to customer service requests.

  • Administer promotions, surveys, or other site features.

  • Process transactions efficiently.

  • Send occasional updates about orders, services, or other offerings.

How We Protect Visitor Information

Written files in our company are kept securely under lock and key. Electronic records are protected by unique usernames and passwords assigned only to authorized personnel.

Our company and its agents exercise discretion when discussing personal information and release it only as described in this policy. Employees and agents are not permitted to make copies of consumer reports or insurance claim records. Any consumer reports retained in company files will not be accessed in the future for customer convenience. Our agents operate as independent contractors and may maintain their own transaction files. We instruct all agents to protect any personal information in those files in the same manner outlined in this policy and to prevent unauthorized access.

Our website is regularly scanned for security holes and vulnerabilities to ensure your visit is as safe as possible. We use consistent malware scanning and security monitoring. For convenience, we may securely store credit card information for more than 60 days to expedite future orders and automate billing.

Access to personal information within Ad Astra Realty is limited to authorized personnel who require it to perform their duties. These individuals may include:

  • The agent or broker coordinating or servicing the transaction

  • The office manager supervising the agent

  • Property managers, assistant property managers, and reception staff

  • Application processors

  • Employees assisting agents, brokers, accountants, or managers with administrative or transactional tasks

Property owners for whom we manage properties do not have direct access to personal information stored in our files. However, our team may discuss details from a tenant’s consumer report or lease application with a property owner when necessary. Copies of such information are only shared:

  1. With the tenant’s consent, or

  2. If Ad Astra Realty ceases to manage the property and the owner requests that records be transferred to them, their attorney, or a new property manager.

Personal information from buyers, sellers, landlords, or tenants may be shared with relevant third parties, such as mortgage lenders or other real estate professionals, only when reasonably necessary to complete a transaction or provide requested services. At a client’s request, we may also provide personal information to trusted service providers (for example, title or mortgage companies) to help expedite or finalize a transaction. If required by law, Ad Astra Realty will provide access to personal information to comply with legal obligations, including court orders, subpoenas, or government investigations. We also cooperate with law enforcement agencies as needed.

Disposal of Personal Information

Employees are not permitted to destroy documents containing personal information without management’s approval. Ad Astra Realty uses reasonable and secure methods to dispose of personal information. This may include:

  • Shredding or burning physical documents

  • Erasing electronic files in ways that render them unreadable or unrecoverable

  • Permanently deleting or anonymizing personal data to ensure it cannot be reconstructed

Erroneous Records

If Ad Astra Realty discovers that incorrect information has been reported to a consumer reporting agency, we will promptly correct our internal records and request that the reporting agency do the same. In the event that an incorrect record indicates a consumer has issued a dishonored check, we will remove the record once both parties agree that the information was in error, or once the consumer provides a law enforcement report verifying the check was unauthorized.

Notice: We ask anyone providing personal information to Ad Astra Realty or its agents to clearly identify such data as “personal information” at the time it is submitted.

California Online Privacy Protection Act (CalOPPA)

CalOPPA was the first U.S. state law requiring commercial websites and online services to post a privacy policy. Its reach extends beyond California, applying to any U.S. (or potentially international) company that collects personally identifiable information from California consumers. Under CalOPPA, website operators must:

  • Post a clear and visible privacy policy on their website

  • Disclose exactly what information is collected and with whom it is shared

  • Comply with the terms stated in their posted privacy policy

CalOPPA Compliance

In accordance with the California Online Privacy Protection Act (CalOPPA), we agree to the following:
